Record a manual WHMCS payment after confirming that the money was received through the approved bank or payment channel. The payment record should identify the actual transaction and allocate it to the correct invoice or client credit balance.

01 Match the incoming payment
Compare the sender, payment reference, amount, currency and settlement date with the customer's account and invoice. Search Transactions List for the reference before entering it. A payment receipt supplied by a customer is useful for investigation, but it is not a substitute for confirming receipt in the merchant or bank account.
02 Apply a payment to an invoice
- Open the intended invoice and confirm its current balance and client.
- Use Add Payment and enter the actual payment date, method, transaction ID and amount.
- Review the values before submitting. A payment that settles an invoice can trigger its configured provisioning, renewal or unsuspension workflow.
- After saving, confirm the transaction and remaining balance, then inspect any associated service action.
For a single receipt covering several invoices, use the transaction entry workflow and specify the invoice IDs in the intended allocation order. Check each allocation afterwards. Excess funds can become client credit, which must also be reconciled.
03 Keep unallocated funds traceable
If the payment is a deposit for future purchases, record it as a credit transaction instead of assigning it to an unrelated invoice. Include a meaningful description and the source reference. Manual goodwill credit and received cash should remain distinguishable in the records.
The Bank Transfer gateway displays payment instructions and requires manual recording when money arrives. Selecting it at checkout does not confirm payment or pull money from the customer's account.
04 Example: allocate one receipt across two invoices
Assume one confirmed receipt of 100 in the client's billing currency, two unpaid test invoices for that same client, and no existing payments or applied credit. Use the actual verified invoice IDs in the intended allocation order through Add Transaction.
| Allocation | Amount | Expected result |
|---|---|---|
| First invoice balance | 70 | 70 is allocated to this invoice. |
| Second invoice balance | 20 | The next 20 is allocated to this invoice. |
| Unallocated remainder | 10 | 10 becomes client credit for future use. |
The allocation adds up to the single 100 receipt. Do not record another receipt for each invoice or enter the remaining 10 again as new cash. Confirm the transactions, invoice ledgers and client credit after saving, then inspect any service actions triggered by settlement. These are illustrative amounts for a controlled example, not instructions to modify a real customer's account.
How should I correct an incorrectly recorded offline payment?
If a receipt was allocated incorrectly, review the transaction, invoice ledger and any automation it triggered before making a correction. Preserve an explanation of the correction. Changing a status label alone can leave the accounting and service state inconsistent, especially under the WHMCS 9.0 invoice model.
